Potkeeper (“we”, “us”) runs usepotkeeper.com — a bookkeeping tool for amateur team treasurers. This policy explains what we collect, why, and how to reach us.
What we collect
- Account data: name, email, and password (stored hashed).
- Team and book data: team names, rosters, game days, expenses, dues, balances, and notes your financier enters.
- Support messages: issue reports you send, including optional page URL and contact details.
- Technical data: standard server logs and, if enabled, anonymized product analytics (Microsoft Clarity) to understand how the site is used.
How we use it
- Run the service: sign-in, team books, invites, and email verification.
- Send transactional email (verification codes, password reset, team invites).
- Respond to support requests and fix problems you report.
- Keep the platform secure and reliable.
We do not sell your personal information. Potkeeper v1 does not process card payments or move money — the book is a record only.
Who can see team data
Financiers see the full book for teams they manage. Players see their own balance and statement, not other players’ ledgers. Do not put sensitive government IDs or unnecessary personal data in notes.
Service providers
We use trusted vendors to host and operate Potkeeper (for example cloud hosting, email delivery, and database services). They process data only to provide the service to us.
Retention and deletion
We keep account and book data while your account and teams are active. Contact us if you need help removing an account or correcting data.
